Printed Thesis Embargo Applications Must Be Reviewed at the Defense Starting Spring 2026
Dear Faculty and Graduate Students,
Starting this semester, students who wish to request an embargo on their printed thesis/dissertation must submit the application before the degree examination.
The Embargo Application Form and certification documents must be presented at the defense for review and confirmation by all members of the degree examination committee.
Graduate students are advised to discuss with their advisors in advance whether to apply for an embargo and determine the appropriate embargo period, and to complete the required procedures accordingly to avoid affecting their rights and interests.

1. Review Procedure
Before the defense, students must complete and print the application form from the Embargo of Printed Thesis/Dissertation System.
At the defense, submit the application form and certification documents (two original copies each) for review by the examination committee to confirm whether the thesis involves confidential information, patent-related matters, or legal restrictions on disclosure.
2. Review Criteria
For confidentiality or legal restrictions, applicable legal provisions or specific supporting evidence must be provided.
For patent-related matters, the patent application number or relevant explanation must be provided.
3. Certification Documents
Certification documents must substantiate the necessity of the embargo. If documentation is not yet available, a detailed explanation must be provided.

Final approval remains subject to review by the examination committee or departmental regulations.
4. Embargo Period
Each embargo may be granted for up to five years and must be applied for separately.
For a second or subsequent application, approval must again be obtained from all original degree examination committee members or from the relevant departmental meeting of the student’s original department.
5. School-Leaving Process
The approved application form and certification documents must be submitted together with the finalized printed thesis/dissertation—one set to the department office and one to the NTUST Library.
*To simplify the process, students are not required to obtain additional stamps from the Library, Academic Affairs Office, or Technology Transfer Center.
*Students applying for patents must retain a copy of the approved Application Form for Embargo and submit it, together with the Patent Disclosure Form, to the Technology Transfer Center.
* For electronic theses/dissertations, the embargo period can be set directly in the Electronic Thesis Submission System, and no application or certification documents are required. Students are advised to discuss the access period with their advisors (0–10 years for campus network access; 0–99 years for Internet access).
